A status is a limited window into recruiting
A Workday application status tells you how an employer currently presents your application in its candidate portal. It does not necessarily show every internal review or predict the final outcome. The same label can cover different stages at different organizations. Read it alongside your application confirmation, outstanding tasks, and messages from that employer.
UW–Madison publishes an unusually clear example: its candidate view maps Review to Submitted and several other active stages to In Progress. Its Completed label can appear after a decline or a canceled requisition. Those are that university's mappings, not rules for every company using Workday. They show why an isolated label is easy to overinterpret.
Also distinguish an application from your candidate profile. One company account may contain several requisitions with different outcomes. Before drawing a conclusion, match the role title and requisition number. A rejected application for one team does not, by itself, establish the status of another application.
Common labels and the safest next action
| Label or signal | What it can indicate | Useful next action |
|---|---|---|
| Draft / Incomplete | The form may still require submission or tasks | Open it and check for required actions and confirmation |
| Submitted / Received | The application entered a stage shown to candidates | Keep the confirmation and monitor messages |
| In Progress / Under Review | The employer is displaying an active process label | Do not infer an interview; complete any actual tasks |
| Interview / Assessment | A stage or task associated with evaluation | Read the invitation and instructions for specifics |
| Completed / Inactive | The displayed workflow or consideration may have ended | Check the employer's definition and any decision email |
| Withdrawn / Withdrew | The application is recorded as withdrawn | Contact recruiting if this was unexpected |
| Offer-related task | There may be documents requiring your attention | Read the actual offer and conditions rather than relying on a badge |
A portal can use language that differs from this table, including localized labels. Treat the exact employer's instructions as the authority. If a message and a badge appear inconsistent, ask for clarification rather than choosing whichever interpretation is more encouraging.
What if In Progress stays unchanged for weeks?
An unchanged status does not let you distinguish a recruiting delay from a still-active review or an outdated candidate-facing label. Refreshing repeatedly supplies no additional evidence. Record the last meaningful contact and any timeline you were given, then use that timeline to decide whether a follow-up is appropriate.
- Check that you are signed into the same employer account used to apply.
- Open the correct requisition and look for outstanding tasks.
- Search your email and spam folder for that employer's messages.
- Compare the date with any timeline supplied by recruiting.
- Continue applying elsewhere while you wait.
Do not repeatedly withdraw and reapply to try to move the status. That can remove an application from consideration or create confusion. If the role has closed publicly, it still does not reveal whether the employer filled it, paused it, or stopped collecting new candidates. The recruiting team is the appropriate source for your own case.
Send a useful status inquiry
Subject: Follow-up — [role / requisition] Hello [Name], Thank you for [specific conversation, if applicable]. You mentioned an update around [date]. I'm checking whether there is an updated timeline for [role / requisition]. I'm still interested and can provide any additional information needed. Thank you, [Name]
If you have not spoken to a recruiter, use a published application-support contact only if the employer permits status inquiries. Include the role and reference number. Avoid asking the software provider to interpret an employer's hiring decision, and do not send a long resume pitch when the actual question is about a timeline.
Choose an appropriate follow-up email — Separate a timeline inquiry from an interview thank-you or a correction request.
Keep a record that is more useful than the badge
Track four things: the official job URL, submission confirmation, last direct communication, and next action. A short record such as 'submitted October 28; assessment due November 4; awaiting instructions' is more useful than copying In Progress into a spreadsheet every day. Save decision emails when they arrive so you do not rely on a portal label later.
If the employer requests an assessment or interview, follow the actual deadline and instructions. If it communicates a rejection, update your tracker and move forward. If no decision has been communicated, keep the outcome as unknown. That distinction helps you plan without converting uncertainty into either an offer or a rejection.

Common questions
- Does Completed in Workday mean I got the job?
- No. UW–Madison's published configuration uses Completed for several ended processes, including declines and canceled requisitions. Check your employer's communications.
- Does In Progress mean a recruiter read my resume?
- The label alone does not prove that. It can group several internal stages, depending on the employer's configuration.
- Should I request an update every time the status changes?
- Usually a direct task or message is more actionable than a label change. Follow the employer's timeline and contact rules.
