Workday application tips: how to get through it faster without mistakes

New account, upload the resume, watch it scramble, retype everything anyway. Here is why Workday works that way and how to get through it faster.

To get through a Workday application faster, keep one consistent email and password pattern for every company account, upload a single column resume and fix the parsed fields immediately, keep your screening answers written down, and use the Use My Last Application option when you apply to the same company again. The rest of this guide is the why behind each step and the mistakes that cost the most time.

Workday is the application I filled out more than any other, and the one I complained about most. Create an account. Verify the email. Upload the resume. Watch it put your university in the employer field. Retype everything anyway. It is a big part of why I ended up building ApplyAgents.

Why Workday applications feel so slow

Workday is everywhere. In its 2026 report on Fortune 500 applicant tracking systems, Jobscan found Workday at over 40% of the companies on the list. If you are applying to banks, large tech companies, insurers, retailers, or universities, you will spend a lot of your search inside it.

Three design choices make it slow from the applicant side:

  • Every company is a separate site. Your account at one employer does not exist at the next. New account, new verification email, every time.
  • It is a multi step wizard. Five or six pages, each with required fields and validation, and a session that can time out while you look something up.
  • It wants structured data, not your resume. Each job, school, and skill goes into its own set of fields, with typeahead dropdowns that have to match their list exactly.

None of that is going to change. What you can change is how much of it you do from scratch.

The steps of every Workday application

Employers can customise the order and add steps, but nearly every Workday application follows this shape.

  1. 1

    Start: choose how to apply

Autofill with Resume, Apply Manually, or Use My Last Application if you have applied at this company before. Then sign in or create an account.
  2. 2

    My Information

Name, address, phone, email, and how you heard about the job. Quick, but the address and phone fields have strict formatting.
  3. 3

    My Experience

Work history, education, skills, websites, and the resume upload. This is where parsing errors show up and where most of your time goes.
  4. 4

    Application Questions

Work authorization, sponsorship, relocation, start dates, and role specific questions. Knockout questions live here.
  5. 5

    Voluntary Disclosures and Self Identify

Demographic questions and terms acceptance. Usually optional answers, with a required checkbox to accept the terms.
  6. 6

    Review and Submit

A summary of everything. Read it. This is your last chance to catch a scrambled field or a wrong answer.

9 tips to get through it faster

1. Use one email and a password manager for every account

You will create dozens of Workday accounts. Use the same email for all of them and let a password manager generate and store each password. Forgotten passwords at one company are the single most annoying time sink in a Workday search.

2. Upload a single column resume

Autofill with Resume only helps if the parser can read your file. Two column layouts, tables, and text in headers produce merged jobs and misplaced titles. One column with consistent dates parses cleanly. What breaks parsers, and how to test your file in two minutes, is in the ATS friendly resume format guide.

3. Fix the parsed fields right away

After the upload, check every job and school entry before you move on. Job titles in the company field, dates off by a month, and bullet points mashed into one description box are common. What lands in these fields is what a recruiter sees and searches, not your PDF.

On Workday, the recruiter often sees your parsed profile before your resume. Whatever ended up in those fields is your first impression.

4. Keep a plain text master profile

Keep one document with every job title, company, location, start and end month, your bullets, schools, degree names, GPA, and skills, written exactly the way you want them to appear. Copying from plain text is much faster and cleaner than copying from a formatted PDF.

5. Type, then select, in every dropdown

School, field of study, country, and skills are typeahead fields. Typing the name is not enough. You have to pick the matching option from the list, and for skills, press Enter so each one becomes its own tag. A skill that looks entered but was never selected is not saved.

6. Write your screening answers down once

Work authorization, sponsorship, relocation, earliest start date, graduation date, and salary expectation. Decide each answer once and keep it consistent everywhere. These questions are phrased differently at each company, and flipping one by accident can knock you out automatically. Every trigger is covered in why you keep getting auto rejected.

7. Use My Last Application when you reapply

If you are applying to a second role at the same company, sign in and choose Use My Last Application. It carries your previous answers forward. Then update anything role specific, especially which resume you uploaded.

8. Do not let the session time out

Workday saves your progress as you move between steps, but sessions expire after inactivity. If you need to go find a date or a transcript, click through to the next step first so the current one is saved.

9. Tailor the resume before you start the form

Swapping the uploaded resume halfway through means re-checking every parsed field. Tailor first, then upload once. The twenty minute tailoring process is in how to tailor your resume to a job description.

The mistakes that cost the most

MistakeWhat it costsFix
Wrong answer on a sponsorship or authorization questionAutomatic rejection, often within minutesRead every question slowly, use saved answers
Not checking parsed fieldsRecruiter sees a scrambled profileReview each entry after the upload
Skills typed but never selectedSkills missing from your profile and searchesPick from the list or press Enter on each one
Uploading the wrong resume versionA generic resume against a specific postingName files by role and check before uploading
Applying weeks after the posting went upA crowded pile or an already filled roleApply in the first few days

After you submit

You can track every application at a company from that company's candidate home page. The status usually stays at something like Application Received or In Review for a long time, and that is normal. It rarely changes until a recruiter moves you to a new stage or the role closes.

If the rejection arrives within minutes, look at your Application Questions answers. If it comes weeks later or not at all, that is a ranking and resume question, and the five reasons resumes get rejected will help you find which one. Workday itself is just the applicant tracking system in the middle. Get your file clean, your answers consistent, and the repetitive parts automated, and it stops eating your evenings.

Common questions

Why do I need a new Workday account for every company?
Each employer runs its own separate Workday site, and candidate accounts belong to that employer's site, not to Workday as a whole. That is why the same email needs a new account at each company, and why a password reset at one company does nothing at another.
Why does Workday scramble my resume when I upload it?
The Autofill with Resume option parses your file into fields, and it struggles with two column layouts, tables, text in headers, and unusual date formats. The result is job titles in the company field or merged entries. A single column resume with consistent dates parses far more cleanly, and you should always check the result before moving on.
How long does a Workday application take?
Typically fifteen to thirty minutes when filled by hand, longer the first time at a company because of account creation and email verification. The My Experience step, where you re-enter work history and education, takes most of that time.
Can I save a Workday application and finish later?
Usually yes. Progress is saved to your candidate account as you move between steps, and you can return through the candidate home page. Sessions do time out after inactivity, so save by moving to the next step before you step away.
Is it safe to use an autofill extension on Workday?
It depends on the tool. Use one that keeps your data under your control, fills fields without submitting for you, and shows you what it filled so you can review every answer. You should always be the one who clicks Submit.

Stop retyping the same application.

Save your answers once. ApplyAgents fills Workday, Greenhouse, Lever, and more.
